Refunds & Credits

Process refunds and manage member credits.

When to Refund

Common refund scenarios:

  • Duplicate payment
  • Cancelled membership
  • Event cancellation
  • Billing error
  • Overpayment

Processing a Refund

  1. Go to Billing > Payments
  2. Find the original payment
  3. Click Refund
  4. Enter:
    • Refund amount (full or partial)
    • Reason for refund
    • Refund method (original method or other)
  5. Click Process Refund

Credit Notes

For account credits instead of cash refunds:

  1. Issue a credit note
  2. Amount added to member balance
  3. Applied to next invoice
  4. Or used for purchases

Creating a Credit Note

  1. Go to member's billing
  2. Click Issue Credit
  3. Enter amount and reason
  4. Credit appears on account

Cancellation Refunds

For membership cancellations:

  1. Calculate unused portion
  2. Deduct any cancellation fee
  3. Process refund or credit
  4. Update membership status

Refund Reports

Track refunds with:

  • Total refunds by period
  • Refund reasons breakdown
  • Impact on revenue
  • Audit trail
