Refunds & Credits
Process refunds and manage member credits.
When to Refund
Common refund scenarios:
- Duplicate payment
- Cancelled membership
- Event cancellation
- Billing error
- Overpayment
Processing a Refund
- Go to Billing > Payments
- Find the original payment
- Click Refund
- Enter:
- Refund amount (full or partial)
- Reason for refund
- Refund method (original method or other)
- Click Process Refund
Refund Methods
| Method | Timeline | Notes |

| Card | 5-10 business days | Returns to original card |
| Bank | 2-3 business days | Manual transfer required |
| Credit | Immediate | Applied to member account |
Credit Notes
For account credits instead of cash refunds:
- Issue a credit note
- Amount added to member balance
- Applied to next invoice
- Or used for purchases
Creating a Credit Note
- Go to member's billing
- Click Issue Credit
- Enter amount and reason
- Credit appears on account
Cancellation Refunds
For membership cancellations:
- Calculate unused portion
- Deduct any cancellation fee
- Process refund or credit
- Update membership status
Refund Reports
Track refunds with:
- Total refunds by period
- Refund reasons breakdown
- Impact on revenue
- Audit trail
